Oral Presentation Guidelines

Presentation Duration

  • Total Time: 15 minutes
  • Presentation: 10 minutes
  • Q&A and Suggestions: 5 minutes

Session Formats

  • Offline Sessions: Held at CUET IT Incubator, Chattogram, Bangladesh.
  • Online Sessions: Conducted via Zoom software.

Content Focus

  • Ensure the presentation is clear, concise, and focused on your key findings.
  • Provide a solid introduction, highlighting your research problem, objectives, methodology, and results.
  • Use visual aids (charts, graphs, diagrams) to make complex data more accessible.
  • Timing

  • Your total presentation should be 10 minutes, leaving 5 minutes for Q&A.
  • Practice to ensure your presentation fits within the time limit, and transition smoothly between sections.
  • Q&A Session

  • 5 minutes will be dedicated to Q&A after your presentation.
  • Be prepared to answer audience questions, whether from the physical room or via Zoom for virtual participants.
  • Engage with the audience constructively and welcome suggestions.
  • Visual Aids

  • Keep slides clear and uncluttered. Use readable fonts, high-contrast colors, and limit text.
  • Include visual representations to clarify data, particularly for online viewers.
  • Technical Setup

    • Offline Presentations: Arrive early at CUET IT Incubator to check compatibility with the equipment (projector, laptop). Bring a backup of your slides.
    • Online Presenters: Test your Zoom setup in advance. Ensure your camera, microphone, and screen-sharing features work seamlessly.
      • Use a stable internet connection and avoid background distractions.
      • Keep your presentation materials (PowerPoint, PDF) ready for sharing via Zoom.

    Professionalism

  • Dress professionally and maintain a calm demeanor whether presenting in person or online.
  • Speak clearly and maintain a steady pace.
  • For online presenters, make eye contact with the camera and keep your background professional.
  • Time Management

  • Keep track of time during your presentation. Moderators will notify you when you have 1 minute left.
  • Make sure to conclude within the 10-minute mark.
  • Poster Presentation Guidelines

    Presenting your research effectively through a poster requires a clear layout, engaging content, and good time management. Follow these guidelines to ensure a successful poster presentation.

    Layout & Organization:

    • Organize content logically to guide the viewer smoothly from one section to the next.
    • Avoid overcrowding the poster—leave ample white space for readability.

    Text & Contrast:

    • Use high contrast between text and background for legibility (e.g., dark text on a light background).

    Images & Figures:

    • Use high-resolution images, diagrams, and charts.
    • Label all figures clearly to ensure understanding.

    Use of Color:

    • Use color sparingly, mainly to emphasize key elements such as graphs or section titles.

    Poster Size:

    • The standard poster size is A0 (841 x 1189 mm), in portrait orientation

    Poster Display:

    • Posters will be displayed at the CUET IT Incubator, Chattogram, Bangladesh.

    Online Submission:

    • For online participants, ensure your poster is submitted in PDF format for virtual display.

    Additional Guidelines for Online Presenters:

    1. Zoom Etiquette

    • Join the session at least 15 minutes before your scheduled time.
    • Mute your microphone when not presenting to avoid background noise.
    • Ensure you have a clean and quiet environment during your presentation.

    2. Screen Sharing:

    • Familiarize yourself with Zoom’s screen-sharing function.
    • Test it beforehand to avoid technical issues during the session.

    3. Backup Plan:

    • Keep a backup of your presentation available in case of technical difficulties.
    • In case of connectivity issues, notify the conference organizer immediately to reschedule or accommodate your session.

    Offline Sessions at CUET IT Incubator:

    1. In-Person Interaction:

    • Engage directly with the audience during the Q&A session.
    • Use body language and eye contact to maintain a connection with the attendees.

    2. Presentation Room Setup:

    • Ensure that your equipment (e.g., microphone, projector) is functioning correctly.
    • Position yourself where you can interact both with in-person attendees and, if applicable, with remote participants.
